Heidelberg University’s guest houses in Neuenheimer Feld (INF 370 | 371) offer a temporary home away from home, especially for visiting academics at the university. Our small team on site is the point of contact for guests as well as for host institutes/facilities and looks after guests from all over the world from the inquiry and booking, through arrival, during the stay to departure.
Your tasks
You look after and advise our guests in all matters relating to their stay and are the contact person for guests, host institutes/facilities and service providers. Your tasks include in particular
Looking after guests on site
Drawing up and checking rental contracts, answering and clarifying questions from accounting and guests regarding rental contracts
Invoicing including dunning in coordination with the accounting department
Management of apartment changes (apartment checks, coordination of service providers, etc.)
Completion of arrival formalities and handover of apartments
Other organizational and administrative tasks
Your qualifications
Completed vocational training in the commercial/hotel sector or comparable knowledge and skills
Very good knowledge of written and spoken English, knowledge of other foreign languages an advantage
Experience in the hotel/housekeeping sector or in public administration is an advantage
Very good MS Office skills as well as knowledge of hotel management software or the ability to familiarize yourself with complex IT programs, SAP knowledge an advantage
Organizational talent, communication skills, ability to work in a team
Independent working style, sense of responsibility
