The university is striving to establish a professional event service and to professionalize its support in the area of event and conference management for its faculties.
For this reason, an event service team is to be set up to support the university’s stakeholders in planning and organizing their events and conferences professionally and smoothly.
Your tasks
You will be the contact person for university institutions and faculties planning events or conferences (event organizers). You will provide support in all organizational matters and act as an interface to internal house and technical services and ensure a “one face to the customer” principle for the event organizer.
This includes the following tasks:
Advice on organizational, infrastructural and general issues relating to event planning and implementation, from room allocation, furnishings, logistics, (media) technology, security-related issues to catering and costs
Organization of events/conferences
Selecting potential external service providers and awarding services in accordance with public procurement law
Maintaining and developing information on the website and employee portal relating to events in coordination with the Communications and Marketing department
Offering further training in the area of events in collaboration with LUH’s HR development department
Your qualifications
The prerequisite for employment is a Bachelor’s degree in tourism or event management or in another course of study with predominantly business administration, administrative science or social science content. Alternatively, you must have successfully passed the Administration Course II examination.
Knowledge and experience in the areas of event organization, event implementation and event security
Strong communication and organizational skills, responsible and independent way of working as well as ability to work in a team, high resilience
Willingness to occasionally work evenings or weekends
Very good written and spoken German; knowledge of English
Confident knowledge of common MS Office applications
Knowledge of conference management systems, event software and distribution databases is desirable
