As a Hotel Operations Administrative Coordinator (w⁠/⁠m⁠/⁠d) at sea chefs, you can expect not only a varied range of responsibilities—you’ll also (re)immerse yourself in the fascinating world of cruising.

In this role, you’ll provide direct support to the Vice President of Hotel Operations for the Mein Schiff Fleet in all organizational, administrative, and coordination tasks, and serve as the central point of contact between the hotel operations teams on board, the departments on shore, and external contacts.

Your responsibilities at a glance:

  • Providing organizational and administrative support to the Vice President of Hotel Operations for the Mein Schiff Fleet in day-to-day operations
  • Organizing, prioritizing, and coordinating the calendar, as well as managing appointments
  • Planning, organizing, and preparing for and following up on meetings, including taking minutes and tracking action items
  • Creating and preparing presentations, reports, statistics, and decision-making documents
  • Coordinating and assisting with the onboarding of new travelers, as well as preparing and conducting pre-departure and pre-embarkation briefings for onboard management
  • Close collaboration with onshore departments and the Hotel Operations teams on board
  • Supporting and coordinating cross-functional projects, as well as contributing to the implementation of new digital applications and processes
  • Organizing business trips, including travel planning and travel expense reimbursement
  • Proactively optimizing administrative workflows and processes
  • Occasional domestic and international business trips, including accompanying the Vice President on ship visits, meetings, and events

Your Course & Your Talents

Ideally, you should have the following:

  • A successfully completed business apprenticeship or a comparable degree
  • Professional experience in an assistant, office management, or coordination role; ideally in an international setting and within the hotel, tourism, or cruise industry
  • Strong organizational skills and a structured, independent, and reliable work style
  • A confident demeanor, assertiveness, and the ability to act professionally, solution-oriented, and with the necessary tact even in challenging situations
  • A high degree of initiative, loyalty, discretion, and a strong sense of responsibility
  • Ability to set priorities and maintain a clear overview even in a dynamic work environment
  • Strong communication and teamwork skills, as well as a confident and professional demeanor
  • Strong commitment to customer service
  • Proficiency with standard MS Office applications, particularly Outlook, Word, Excel, and PowerPoint
  • Very good written and spoken German and good written and spoken English
  • Good general knowledge, as well as a courteous and professional demeanor
  • Flexibility and willingness to take occasional domestic and international business trips
